Block and estate management

Our block management service

We look after residential blocks and estates for resident management companies, right to manage companies and freeholders across south Essex and east London.

Service charges, communal repairs, contractors, compliance and the day-to-day running of the building. We also run our own maintenance teams, so an in-house option is available if the board wants it - and if you would rather we managed your existing contractors, that is equally fine.

The Service

What block management covers

Block management is everything that keeps a building running once the flats are sold. The parts nobody owns individually - the roof, the structure, the communal areas, the grounds - still need paying for, maintaining and keeping compliant. That is the job.

Service charge and budgets

We prepare the annual service charge budget, raise the demands, keep the records and produce the year-end accounts. Budgets are built from what the building actually costs to run rather than last year's figure with a percentage added, and we explain the reasoning to the directors before anything goes out to leaseholders.

Repairs and maintenance

Reactive repairs when something breaks, and planned maintenance so less of it does. Communal lighting, door entry, roofs, gutters, drainage, decoration, grounds and everything else that falls between the flats. Carried out by our own teams or by contractors of your choosing - see below.

Contractors and specialists

Where a job needs a specialist we do not employ directly - lift engineers, fire alarm servicing, specialist roofing - we source, instruct and supervise them, and we tell you what the work costs and why.

Compliance

Fire risk assessments and the actions that come out of them. Communal electrical testing. Asbestos management where it applies. Water hygiene. Keeping the paperwork current and telling the directors what their duties actually are rather than assuming they know.

Insurance administration

Arranging buildings insurance, handling renewals, and managing claims when something goes wrong. We will always tell you what the premium is and how it is arrived at.

Inspections and reporting

Regular site inspections with a written report the directors can actually read, covering the condition of the building, what has been done and what is coming up. Arrears position included, because it is usually the first thing a board asks about.

Contractors of your choosing

Maintenance - and your choice of who does it

Being the managing agent and a potential contractor at the same time is something boards are right to ask about, so here is our position plainly.

We run our own maintenance teams. For a lot of blocks that is useful: communal repairs get instructed and done by the same company, without a sourcing delay or a minimum call-out charge landing on a job that took half an hour. On smaller buildings it is often the difference between a repair happening this year and being deferred again.

It is an option, not a condition of appointing us. Whether we carry out the work is the board's decision, every time. We quote alongside any other contractor you want to consider, on the same basis. Where the leases or the legislation require formal consultation, we follow that process in full and you are free to take competing quotes.

If you would rather we did not carry out a particular piece of work, or any of it, say so. We will source it externally and manage it for you like any other contractor. Plenty of boards prefer that, and it does not change how we manage the building.

Keeping the building compliant

Compliance duties do not scale down with the size of the block. A six-flat conversion needs a fire risk assessment as surely as a sixty-flat development does, and the responsibility for having one sits with whoever manages the building - which in most cases means the directors personally.

We keep the compliance schedule current, arrange the inspections and testing, action what comes out of them, and keep the records where they can be produced when a leaseholder, an insurer or a solicitor asks. When something is due, you hear it from us rather than finding out at renewal.

Where duties under the Building Safety Act apply to a building, we will tell you plainly whether they do and what that means. Most of the blocks we manage sit below the height thresholds, but fire safety obligations apply either way and are not optional.

Working together

One point of contact who knows your building

You get a named person, not a ticket queue. Someone who has walked round your block, knows which gutter is the problem one and does not need the history explained again every time you ring.

Directors decide, we advise and deliver. We will tell you what we think should happen and what it will cost, and we will tell you when we think an idea is a bad one. What we will not do is spend money on your building without you knowing, or let a decision drift because it was awkward to raise.

Reporting goes out in plain English. If a report needs a glossary, it has failed.

Who we work with

Directors, RTM companies and freeholders

Who holds the responsibility for a block changes what the job looks like. These are the three groups we work with most.

RMC Directors

The legal duties sit with the company and its directors, and it is unpaid work on top of everything else. We take on the running of the block so you are not chasing contractors in the evenings.

RTM Companies

Taking management off a freeholder means inheriting budgets, contracts and compliance duties at once. We work with newly formed RTM companies from the acquisition date and help make the first service charge year a manageable one.

Small Blocks

Blocks under about fifteen flats get turned down by most agents because the fees do not cover the overheads. Ours do. If you have been told your block is too small to bother with, talk to us.

From eight flats to eighty

We do not set a minimum unit count. Converted houses, purpose-built blocks, mixed-tenure developments and private estates with communal grounds are all buildings we manage, and the small ones tend to need the most help because they are the ones nobody else will take.

Larger developments bring their own demands - lifts, plant, on-site staff, longer maintenance cycles and more leaseholders to keep informed. The service scales. The named contact does not change.

Areas we cover

South Essex and east London

We work along the A127 and A13 corridor, from east London out through south Essex to the estuary.

That is a deliberate choice rather than a coverage list - being able to get to a building matters more than claiming to cover everywhere.

Already have a managing agent?

Most boards that contact us already have an agent and have simply had enough. Switching is more straightforward than people expect. The two things that matter are the notice period in your current management agreement and getting a clean handover of funds, records, contracts and compliance documents. We will talk you through both before anyone signs anything.
